- Static Documentatoin Plans are designed so that your callers are prompted to answer specific questions regarding items performed diring the visit, which are configured by an administrative user.
- Static Documentation Plans are useful for preventing inaccurate or missed documentation
- The main difference between a Static and Dynamic plan is that Static allows you to predetermine the documentation questions you want your callers to be prompted to answer, and Dynamic allows your callers to freely enter the visit codes without being prompted
- Both of these options can be used in conjunction with one another to create what we call a "backup" documentation plan
Setting Up a Static Documentation Plan
- Navigate to Admin>Documentation Plans
- Select the appropriate Call Plan from the Active Call Plans box, and then select "Add New" above the Active Doc Plans box
- Name the Plan anything you like
- Select the Code Type that apply to the documentation that you would like to perform for this visit
- The Code Types chosen have to be an option that is available within your billing, scheduling, and payroll software
- Mode Type is Static for this tutorial
- Call Type can be set to whatever type you choose.
- Available options are Start, End, Continue, and All
- Require Codes doesn't apply to this tutorial as it is only applicable to Dynamic Plans
- Optional Plan checkbox is used if you are creating alternate Static Plans
For Example:

- Suppose you have a Call Plan set up that is applicable to a client, or multiple clients, that are seen twice a day (Once in the morning, and once in the afternoon)
- In this case, you can create two Static Plans for the same Call Plan
- One that pertains to the Documentation required for the morning visit
- One that will cover the tasks required for the afternoon visit
- Each plan will have to have to Optional Plan checkbox checked
- This being the case, when the caller calls into this Call Plan, they will be prompted to enter the Plan Number to select the approproate Documentation Plan. This selection will determine which Static questions are asked for this visit.
- Validate against Discipline checkbox is not available to a Static Documentation Plan because the codes are pre-configured for the caller
- Validate against Static Doc Plans is available when you want to use a Dynamic plan and a Static Plan in conjunction with each other

- Verify Employee Response is used on Documentation plans that collect a numeric amount, such as when collecting mileage or break times
- The system will do an additional verification that the caller is satisfied with the amount before proceding
- After you have set up the options for the Documentation Plan, you click Next and select the Documentation that you would like to add
- Searches in this screen can be performed on either the wording from the description of the task to perform, or the task number itself
- You can re-order the codes using the Up and Down arrows above the attached codes box
The Plan Number:
- The Plan Number for multiple Static Plans can be found on the page that you enter the Documentation Codes on by clicking on the printer icon next the the text "Customize Your Codes"
- This will bring up a report, and the Plan Number will be listed there
- The caller will have to use this plan number to select which Static Plan they want to use when they call into that Call Plan
