General Notes on Employee Passwords:
- Even if an employee has recorded a password, they will not be prompted for a password unless they are entering documentation on a Call Plan that has Password Protection enabled
- Enabling Password Protection adds a third layer of authentication to field staff documenting their visits
- In order for an employee to create a password, they first need to be added to the Password Reset employee group
- Adding employees to this group allows the system to know that they need to create a unique password
To add employees to the Password Reset group:
- Navigate to Admin>Employee Groups>Add/Remove Groups by Employee
- Select the Password Reset Group
- Select the employees
- Click Add and now the employee is ready to create their password
For the employee to record their password:
- The employee will need the call the Dial-N-Document Password Creation phone number
- 1(877)814-3820
- They provide their Access Code and Agency ID
To set up the Call Plan:
- Navigate to the page the says "Customize Employee Authentication"
- Check the Enable Password Protection checkbox
Duration:
- The number of days that the password will be valid before having to be reset
- Leaving blank will require that the password be reset each time the user calls in
- To disable password resets, enter "-1" into the Duration field
Expiration Countdown:
- The number of days that the system will play an alert to remind the employee that thier password has to be reset
If the employee loses or forgets their password, an administrator can reset it at any time by performing the following:
- Navigate to the Admin>Passwords tab
- Search for the employee
- Click the Lost/Stolen checkbox and the employee will automatically be added to the Password Reset group
- The employee can then follow the steps above to re-create their password
